What is WipStack?

WipStack is a private work-in-progress inbox. You choose an email, Slack thread, file, or approved AI result to send. WipStack organizes it into a project, keeps the source and files attached, emails the next move back immediately, and keeps the plan alive with WipStack Pulse and contextual follow-ups.

Who is WipStack designed for?

It is designed for solo operators running multiple ventures, busy executives, board members, founders, and consultants who receive important work across email, Slack, files, and AI conversations and need a practical system for deciding what moves next.

Does WipStack replace ChatGPT, Claude, Notion, or a task manager?

No. ChatGPT and Claude remain the places where you think and create. Existing task, calendar, and documentation tools can remain in your workflow. WipStack sits above AI workspaces as the project memory and execution layer: it prepares the next handoff, records approved outcomes, and keeps the next finishable move visible.

How should I create my first project?

The simplest start is to create your private WipStack address in Account and forward one real project email. WipStack can match it to an existing project, create clearly distinct work, or hold an uncertain match in Review. You can also create a project manually with a name and plain-language outcome.

Can I forward from more than one email address?

Yes. Your primary verified email is always the first approved sender. Free includes 1 total From address, Monthly includes 3, and Annual includes 5. In Account, choose Add or verify an email, complete verification in your account profile, return to Send your WIP, refresh the list, and approve the address. After that one-time setup, forward normally from any approved personal, work, or venture inbox to the same private WipStack address. The receipt returns to the inbox that sent the work.

Can WipStack import an existing project list?

Yes. Paste a rough list or upload supported CSV, TSV, text, or JSON data. AI review can propose groupings, separate workstreams, and flag likely duplicates before anything is saved. You approve the final projects.

What are the three moves on Today?

They are explainable priorities selected from due dates, follow-ups, blockers, waiting states, pending review, and recent project evidence. WipStack intentionally narrows the day to three moves instead of presenting every open task as equally urgent. The same three-move view can arrive by email in WipStack Pulse, with the reason and a direct project link.

What do the question-mark buttons explain?

A question-mark button opens contextual help for the function beside it. The popover explains what the function does, what WipStack saves or sends, and where to read the complete public guide. Current status, errors, important warnings, and action consequences stay visible instead of being hidden.

When does a project become Going quiet?

Going quiet is a supervision signal. It appears when active work has not received enough recent evidence or movement to support a current next step. WipStack Pulse can ask whether the project is still active, done, or abandoned. Adding a real update, decision, artifact, task completion, or new approved context restores the signal.

How do I make Gmail capture one gesture?

Download the Wip contact from Account and save it once. In Gmail, enable keyboard shortcuts, open a message, press f, type wip, select the contact, and send. For predictable recurring mail, add your private WipStack address as a verified Gmail forwarding address and create a filter with intentional sender, subject, recipient, or other criteria. Gmail applies forwarding filters to new mail that matches those criteria; a label applied later does not trigger the filter.

What is WipStack Pulse?

WipStack Pulse is the short email that brings the plan back to you. It contains up to three next moves, a visible reason such as due Friday, blocked six days, or ready for decision, and a direct project link. The Monday momentum check also counts projects that moved, are waiting, or have gone quiet. It is designed to be read in about 15 seconds.

What is MCP?

Model Context Protocol is a standard that lets an AI client call approved tools on another service. WipStack's remote MCP server gives ChatGPT and Claude narrowly defined tools for reading your project context and saving approved tasks, decisions, blockers, artifacts, updates, and session summaries.

How do I tell ChatGPT or Claude to use WipStack in a conversation?

First enable WipStack in that ChatGPT or Claude conversation. Then name the project and ask directly: ‘Use the WipStack tool to open [project name] before we work.’ When the result is ready, say ‘Send this to WipStack as an artifact in [project name]’ or ‘Save this decision and the next task to WipStack.’ A normal chat answer is not a saved WipStack record, so wait for the AI to confirm that the WipStack tool completed.

What do Open ChatGPT or Claude, Paste found work, and Search WipStack again do?

These actions recover useful work from an older private conversation. Open ChatGPT or Claude takes you to the provider so you can use its own history search. Copy only the complete letter, document, or result you want to keep. Return to the project and choose Paste found work to save that approved content. Search WipStack again reruns the project search. After that one-time paste, future WipStack searches can find the saved work without reading the rest of your private provider history.

Do I have to paste the superprompt into ChatGPT or Claude?

If you use the generated superprompt workflow, yes: copy it from WipStack and paste it into a new conversation. If the WipStack MCP connector is enabled in that conversation, you can instead ask the AI to open a named WipStack project and it can retrieve the context through a tool call. The connector cannot infer which browser tab or project you are viewing.

Does MCP automatically import my ChatGPT or Claude history?

No. It does not scrape private history, watch every message, or run a background transcript sync. When the AI opens a project, WipStack records a small work-session signal for that project. After you approve a reusable result such as a letter, the AI can save the complete artifact through WipStack's tool. Find saved work then searches those approved artifacts, context records, and project files. Older private chats still require you to find and paste the result once.

How do I connect ChatGPT or Claude?

Open Account in WipStack, choose the ChatGPT or Claude connector guide, copy https://wipstack.ai/mcp, add it as a custom MCP connection, and approve the WipStack sign-in. Then enable WipStack in a new conversation and run the test prompt shown in Account.

Why does the AI ask for confirmation before writing?

A project record should reflect your intent, not an AI guess. Opening context creates a visible activity signal but does not change project truth. Before a meaningful write, the connector protocol tells the AI to ask, ‘Would you like me to save this decision and the next task to WipStack?’ An approved tool write or your approved pasted result then closes and correlates that session.

What can I say after the connector is enabled?

Try: ‘Show my three WipStack priorities,’ ‘Use the WipStack tool to open Trail Guide App before we work,’ ‘Send this to WipStack as an artifact in Trail Guide App,’ ‘Save this decision and the next task to WipStack,’ ‘Make this the next task due tomorrow,’ or ‘Record this blocker in WipStack.’

Do I need my own OpenAI or Anthropic API key?

No. WipStack includes a fair-use monthly allowance for its optional AI features. You can add your own OpenAI or Anthropic API key in Account if you want those requests billed directly to your provider account instead.

What happens when my included AI allowance is reached?

Optional AI enhancement pauses until the next monthly period. Projects, files, source evidence, follow-ups, standard reports, secure sharing, PDFs, and manually created superprompts remain available. You can also choose a saved personal API key.

How does Push to WipStack work in Slack?

Connect Slack in Account, open a message’s More actions menu, and choose Push to WipStack. You can also mention @WipStack with “push to WipStack” inside a thread. WipStack reads only that explicitly selected message or thread, keeps its Slack source link, and then files a clear match, creates a clearly distinct project, or sends an uncertain match to Review.

Can I forward an email into WipStack?

Yes. In Account, create a private, non-editable address under wipstack.ai. Mail is accepted only from an approved, verified From address: 1 on Free, 3 on Monthly, and 5 on Annual. WipStack matches the message to an existing project, creates clearly distinct work, or holds an uncertain match in Review. It then emails a receipt with the filing result, next move, due signal, and a direct link. Supported attachments are saved after the project is confirmed. Readable PDF, DOCX, ZIP, JSON, CSV, Markdown, and text files up to 12 MB can also contribute useful project facts; other supported files remain safely attached.

What does project truth mean?

Project truth is the reviewable record of what is actually known: commitments, tasks, blockers, decisions, artifacts, approved context, current status, and the next move. Each evidence record keeps its origin so a generated suggestion is not confused with completed work.

Does AI change my project automatically?

An action you explicitly approve, such as adding a task, can update the matching project field immediately. Broader AI conclusions about status, summary, workstream, progress, or possible duplicates become pending review proposals. You accept or reject them before they alter project truth.

How does WipStack handle duplicate projects and workstreams?

During import and evidence reconciliation, AI can compare names, outcomes, current state, and related work. It proposes likely duplicates or better workstream groupings, but it does not silently merge projects. You decide what remains separate and what should be combined.

What is the difference between a task, next move, and follow-up?

A task is a concrete piece of work. What's next is the single action WipStack keeps prominent because it should create momentum now, together with a plain-language priority reason. A follow-up is a dated 30-minute calendar commitment built from that next move. Choose a date and time in the project; the invitation includes a direct link back to the project and updates the same event instead of creating duplicates.

Can I share a project without exposing my workspace?

Yes. WipStack can create a recipient-restricted status link or a server-generated PDF using the project's saved facts and approved evidence. Standard reports do not require AI; AI-enhanced wording is optional.

Files, privacy, and billing

What file storage is included?

Free and monthly memberships include 1 GB of private project file storage, while annual memberships include 4 GB. Every plan has a 25 MB limit per file. WipStack accepts common documents, spreadsheets, text, images, and ZIP files. A manually uploaded file is read into project context only when you choose Use as context. A readable file you deliberately email to your private WipStack address is treated as approved intake and can be read automatically after its project is confirmed.

Can WipStack see my ChatGPT or Claude password?

No. Authentication stays on the provider and WipStack sign-in surfaces. MCP calls carry a scoped WipStack authorization token; WipStack does not receive your ChatGPT or Claude password, browser cookies, or general account-history access.

Can I export or delete my data?

Yes. Account settings provide personal-data export and account-deletion controls. Deletion is intentionally confirmed because it removes project records and associated private files; billing cancellation is handled separately through Stripe.

Does WipStack show my complete AI spending?

WipStack shows measured tokens and estimated cost for AI actions performed inside WipStack.

How much does WipStack cost?

The permanent Free plan includes three active projects, intentional email capture, immediate receipts, WipStack Pulse, and contextual follow-ups without a card. Paid plans provide unlimited active projects, live ChatGPT and Claude MCP access, expanded private file storage, and the complete AI-assisted workflow. They include a 14-day full trial, then cost $20 monthly or $199 annually, excluding applicable taxes.

Can I cancel?

Yes. Open Account and choose Manage billing and subscription to use Stripe's customer portal. Canceling stops the next renewal; access normally continues through the current paid period.

Does WipStack support teams?

Not today. The beta is intentionally individual-only: one person, one private workspace, and one subscription. Invitations, shared projects, permissions, and seat billing remain on the roadmap until the complete two-person security and billing flow is production-proven.
