Use your AI tools. Keep the project memory.

A practical guide to setting up your project system, connecting ChatGPT and Claude, carrying context into a work session, and returning with project truth instead of another forgotten transcript.

Start here

Your first useful WipStack loop

The shortest path is one intentional forward, one immediate next move, and a concise plan that comes back to you.

  1. 01

    Create your private capture address

Open Account, create the address, approve the verified inboxes you use, and download the Wip contact so forwarding becomes one quick action.

  2. 02

Forward one real piece of work

Send the email and attachments you want WipStack to understand. You decide what enters the system.

  3. 03

    Read the immediate receipt

WipStack emails back the project, next move, due signal, and a direct link. Uncertain captures point to Review.

  4. 04

Let WipStack Pulse come to you

Choose when the daily three-move email arrives and turn on the Monday momentum check for moved, waiting, and quiet work.

  5. 05

    Bring in AI when useful

On a paid plan, connect ChatGPT or Claude through MCP, ask it to open a named project, and explicitly send approved results back to WipStack.

Contextual help

Every question-mark guide, in one indexable place.

WipStack keeps primary screens concise. Select the question mark beside a function for the short explanation, or use this complete public reference when you need more detail.

Connected AI work

This activity shows when ChatGPT or Claude calls a WipStack tool for one of your projects. WipStack receives tool activity and approved results, not the provider's full private conversation.

Current project state

Use the outcome to describe what this project should create, the definition of done to name observable proof, and the best next move to keep the next work session focused.

Project truth

Project truth keeps confirmed tasks, milestones, blockers, decisions, and artifacts separate from AI suggestions. AI can improve a draft, but nothing is saved until you add the record.

Follow-ups and calendar invitations

Choose a date and invitation time. WipStack emails a contextual 30-minute calendar invitation using your saved time zone. Updating the follow-up creates a new invitation for the new date and time.

Private project files

Files remain private to your WipStack account. PDFs, Word documents, spreadsheets, ZIP files, text files, or images · 25 MB maximum per file. Choose Use as context for a manual upload. Readable files you deliberately send to your private WipStack email can be added to context automatically after the project is confirmed.

Private project image

JPG, PNG, or WebP · 5 MB maximum · visible only inside this workspace. Choose a screenshot or image that helps you recognize the project.

Project context map

WipStack keeps every approved source separate, then shows what each source contributed, why it belongs to the project, and what should happen next.

Portable AI context

This evidence will travel with the next prompt. A handoff gives the destination AI the project's approved outcome, current state, constraints, sources, and next move without merging or exposing the original private conversations.

What's next?

Review the captured context and choose the next useful move. This is the smallest useful action WipStack currently recommends for the project. The project shows why it is next and keeps work-with-AI, editing, and calendar follow-up controls together.

Find existing work

WipStack searches approved project context, saved artifacts, and private project files. It cannot search private ChatGPT or Claude history, so older provider work must be found there and pasted once with your approval.

Send your WIP

Forward email to your private WipStack address or push selected Slack work. WipStack files a clear project match, creates clearly distinct work, and sends uncertain captures to Review instead of guessing. Email capture returns a receipt with the filed project, next move, due signal, and direct link.

Approved From addresses

An approved From address is a verified inbox allowed to send work to your one private WipStack address. Free includes 1 total sender, Monthly 3, and Annual 5. Add and verify an email once, approve it here, then forward normally without changing the From field.

ChatGPT and Claude connector

MCP lets ChatGPT or Claude call narrowly defined WipStack tools inside the current conversation. A normal AI answer is not saved until the WipStack tool completes.

WipStack Pulse

WipStack Pulse emails your three highest-attention moves, why each matters, and direct project links at the time and time zone you save. The Monday momentum check counts what moved, what is waiting, and what has gone quiet. You can also send a fresh Pulse at any time.

Portable data export

The export downloads your projects, approved context, prompts, reminders, reports, connections, and recorded usage as a structured JSON file.

Sign-in session

Logging out ends WipStack access on this device. It does not remove projects, private files, the subscription, or the account.

Why this preserves useful content: the explanations are included in the server-rendered page, linked from the application, and available without signing in. Important status, warnings, and action consequences remain visible inside the product.

Fast capture

Turn the work already passing by into a project.

Slack and email use the same conservative intake logic: file a clear match, create a clearly distinct project, or wait in Review when confidence is not high enough. Email sends the filing result and next move back to the approved sender immediately.

SLACK MESSAGE ACTION

Push to WipStack

Connect Slack in Account. On any message, open More actions and choose Push to WipStack. WipStack attempts to retrieve the thread that contains the selected message and keeps a permalink when Slack permits it.

  • OAuth connection, installed once
  • Only the selected message or thread is read
  • Private confirmation appears in Slack
PRIVATE INBOUND EMAIL

Forward to your capture address

Create the non-editable address shown in Account, then send or forward material from any approved From address.

  • Unguessable address under wipstack.ai
  • 1 approved sender on Free · 3 Monthly · 5 Annual
  • Receipt includes the project, next move, and direct link

Add another sending inbox

  1. Open Account → Send your WIP.
  2. Choose Add or verify an email.
  3. Add the address in your account profile and complete its verification.
  4. Return to Account, choose Refresh list, and approve the address.

Forward normally after setup

Keep using the From address that belongs to that inbox. Every approved sender uses the same private WipStack destination, and the capture receipt returns to the inbox that sent the work.

Changing plans preserves saved choices. Any address above the current plan limit is paused until a slot is available again.

MAKE CAPTURE ONE GESTURE

Save the address as “Wip.”

Set up the Wip contact
1Turn on Gmail shortcuts

In Gmail Settings, turn Keyboard shortcuts on once.

2Forward what you choose

Open the email, press f, type wip, choose the saved contact, and send.

3Get the payoff

WipStack emails back where it filed the work, the next move, and the due signal.

Automatically forward recurring Gmail that matches a rule
  1. Add the private address. Gmail Settings → Forwarding and POP/IMAP → Add a forwarding address. WipStack sends Google’s verification message to your verified account inbox.
  2. Choose intentional criteria. In Gmail search options, define the sender, subject, recipient alias, or other pattern that means “this belongs in WipStack.”
  3. Create the filter. Choose Create filter → Forward it → your Wip contact. Only new messages matching that rule are forwarded.

Gmail applies forwarding filters to new mail that matches their criteria. For one-off messages, use the f shortcut so you still decide exactly what WipStack receives.

Three possible results: a clear existing-project match is linked to that project; a clearly separate outcome creates a new project; an uncertain item remains unfiled in Review. Reaching the included AI limit does not lose the capture. WipStack uses conservative matching and sends ambiguity to Review.

The plan comes back

WipStack Pulse is built for a 15-second read.

Each Pulse contains no more than three next moves. Every move includes the project, exact action, visible reason, and a direct link so the email stays useful instead of becoming another status dump.

Daily three

See the three active projects that deserve attention based on dates, blockers, waiting time, Review work, and recent evidence.

Reason visible

Due Friday, blocked six days, ready for decision, or another plain-language reason appears beside the move.

Monday momentum

See how many projects moved in the last seven days, how many are waiting, and how many have gone quiet.

Honest decay check

When an active project receives nothing new, WipStack asks whether it is still active, done, or abandoned.

Calendar follow-through

Give the next move a real place on the calendar.

Choose a follow-up date from the project calendar, then use the linked time control to move the 9:00 AM default earlier or later on a 12-hour clock. WipStack schedules a 30-minute invitation in the time zone saved under Account and uses the project’s current next move as the calendar action.

One stable event

Changing the follow-up date or time updates the same calendar UID, so accepting a revised invitation does not create a second unrelated event.

Context included

The invitation carries the project name, next move, current state, intended outcome, definition of done, and a link back to WipStack.

Visible each morning

Upcoming calendar follow-ups appear in the daily email alongside the three ranked moves, with the scheduled time and exact action.

No calendar surveillance

The invitation is emailed to your verified account address. WipStack does not read the rest of your Google, Apple, or Microsoft calendar.

One-time setup

Connect ChatGPT or Claude

MCP is a secure tool connection. It does not give WipStack a copy of your provider account or private chat history.

OA
CONNECT

ChatGPT

Developer mode availability depends on your ChatGPT account and workspace policy. If the setting is unavailable, your workspace administrator may need to allow it.

  1. In ChatGPT, open Settings → Security and login, then turn on Developer mode.
  2. Open ChatGPT Plugins, select the + button, and enter WipStack as the name.
  3. Under Connection, choose the public endpoint option and paste the WipStack MCP endpoint shown below.
  4. Create the connection and review the WipStack tools ChatGPT discovers.
  5. Start a new conversation, add WipStack from the tools menu, and approve the WipStack sign-in when prompted.

Claude

Claude remote custom connectors are available on Free, Pro, Max, Team, and Enterprise plans. Free accounts can add one custom connector; Team and Enterprise owners add it for their organization first.

  1. For Pro or Max, open Customize → Connectors, select +, then choose Add custom connector.
  2. Name it WipStack and paste the WipStack MCP endpoint shown below. Leave Advanced settings empty.
  3. Choose Add, then connect and approve the WipStack sign-in when prompted.
  4. Start a new chat, select + → Connectors, and enable WipStack for that conversation.

During a conversation

Ask naturally. WipStack keeps the work session visible.

The AI chooses a narrowly defined tool, WipStack verifies your identity and project ownership, and an approved write becomes durable project context.

1You ask

“Open Trail Guide App and help me finish the store setup.”

2The AI reads

It retrieves the exact project and starts a visible work-session signal in WipStack.

3You work

ChatGPT or Claude can check in with a short status while the private conversation remains at that provider.

4You approve

The AI asks whether to save the decision and next task. You decide what becomes project memory.

5WipStack correlates

An approved tool write closes the session as saved. If the tool does not write back, Paste result attaches your approved handoff to the same session.

ChatGPT or Claude→WipStack tool→Project memory
WORKING IN A CONNECTED CHAT

Say what WipStack should do.

Enable WipStack for that conversation, name the project, and use a direct request. The provider decides when to call tools, so explicit wording is the most dependable.

Use the WipStack tool to open [project name] before we work.Send this to WipStack as an artifact in [project name].Save this decision and the next task to WipStack.

A visible ChatGPT or Claude answer is not proof of a save. Wait for confirmation that the WipStack tool completed.

Open provider→Paste found work→Search later
RECOVERING AN OLDER PRIVATE CHAT

Use the three recovery actions in the project.

  1. Open ChatGPT or Claude opens the provider so you can use its own conversation-history search.
  2. Paste found work saves only the letter, document, or result you approve.
  3. Search WipStack again reruns the search after you have added useful project memory.

After the one-time paste, WipStack can find that saved work in future projects without crawling the rest of your private history.

Read tools

  • List your personal workspace
  • Show today's priorities
  • List projects
  • Load a project's current context and recent evidence

Write tools

  • Create a project
  • Add a task or next move
  • Record a decision or blocker
  • Log an update, artifact, or session summary
  • Complete the current next move

Useful things to say

Show my three WipStack priorities.Use the WipStack tool to open [project name] before we work.Send this to WipStack as an artifact in [project name].Save this decision and the next task to WipStack.Record this blocker and who I am waiting on.Make this my next move due Friday.

What the signal means: WipStack stores the project, provider label, short activity, status, and timestamps. It does not receive the full ChatGPT or Claude transcript. Tool choice remains controlled by the AI client, so the initial context-open signal is guaranteed when WipStack is used; later progress check-ins depend on the client following the returned session protocol.

Two handoff modes

Choose MCP or a superprompt

BEST WHEN CONNECTED

Use MCP directly

Enable WipStack in the conversation, name the project, and ask the AI to retrieve its context. The AI can read and write approved structured records without copying a large prompt.

  • No prompt paste required
  • Can retrieve the latest project state
  • Can write approved outcomes back
WORKS WITH ANY AI

Copy a superprompt

Build the prompt inside WipStack, copy it, and paste it into a new AI conversation. If MCP is also enabled, the prompt includes the exact project reference and write-back guidance.

  • Portable to tools without MCP
  • Visible, editable handoff
  • Requires manual paste

Important: opening a project in WipStack does not automatically tell a separate ChatGPT or Claude tab what you are viewing. Name the project, use its superprompt, or let the connector retrieve it through a tool call.

Control stays with you

Approved action now. Broader inference in Review.

If you explicitly approve a task or blocker, WipStack can update that exact field immediately.

Saved immediately after approval

What you explicitly requested

  • A named task or next move
  • A decision and its rationale
  • A blocker and waiting state
  • An artifact, update, or session summary
Held for your review

What AI inferred

  • A rewritten project summary
  • A different status or progress estimate
  • A proposed workstream
  • A possible duplicate project

Files and existing work

Store the file first. Use AI only when useful.

Monthly memberships include 1 GB of private project storage; annual memberships include 4 GB. Both have a 25 MB per-file limit.

Project files

Upload PDFs, Word documents, spreadsheets, text, images, and ZIP files to the relevant project. Storage does not automatically send the file to a model.

Use as context

For a supported document, explicitly choose the AI-assisted context action. WipStack extracts the useful project evidence and keeps the original file attached.

Project import

Paste names or upload CSV, TSV, text, or JSON. AI can propose project groupings and flag likely duplicates, but you approve the project records before saving.

Boundaries

What WipStack can and cannot see

WipStack can
  • Read the projects owned by your authenticated WipStack account
  • Show a small session signal when an enabled AI opens a project or checks in
  • Receive the structured fields an enabled AI sends through a tool call
  • Store files and source-linked evidence you intentionally add
  • Measure AI requests WipStack itself performs
WipStack cannot
  • Read all of your ChatGPT or Claude history
  • Watch every message or stream a complete conversation in the background
  • Access provider passwords or browser cookies
  • Report your complete outside-provider spending
  • Silently merge projects or apply inferred truth

Every project operation is limited to the authenticated WipStack owner. Read the Privacy Policy for the complete data description.

Troubleshooting

When the connector does not respond

WipStack is not listed in the conversation

Open the conversation’s tools or connectors menu and enable WipStack. Connections are often selected per conversation, even after the one-time account setup is complete.

The AI answers without calling WipStack

Be explicit: “Use the WipStack tool to open [project name] before answering.” Tool choice remains controlled by the AI client, so a direct instruction is the most dependable test.

Sign-in or authorization fails

Remove the failed connector entry, add https://wipstack.ai/mcp again, and approve WipStack sign-in. Confirm you can sign in to WipStack directly before retrying.

A write did not appear in the project

Ask the AI whether the WipStack write tool actually completed. A normal chat response is not a saved record. Then reopen the project or check Review for a pending AI proposal.

The included AI allowance is unavailable

The connector can still save the approved structured record. Optional reconciliation may pause until the allowance resets, or you can select a saved personal OpenAI or Anthropic key in Account.

Keep this simple

Connect once. Name the project. Ask the AI to read before it works and save after you approve.

That is the complete WipStack loop. Everything else exists to make the result easier to trust, review, and finish.
